Wholesale & Production Coordinator

Full Time | Tweed Heads Office

About the Role

This is a highly collaborative operations role that sits at the centre of our product lifecycle — from confirming production with our factories through to ensuring wholesale customers receive their orders on time.

You'll be the key point of contact for our wholesale agencies and manufacturing partners, managing communication, timelines and production milestones while working closely with our Creative Director and logistics team.

This role is ideal for someone who thrives on organisation, enjoys problem-solving and takes pride in keeping multiple moving parts running seamlessly.

Key Responsibilities

Wholesale Operations

  • Be the primary point of contact for our wholesale agencies across Australia and international markets.
  • Manage day-to-day communication with wholesale agents, stockists and retail partners.
  • Coordinate wholesale orders from confirmation through to delivery.
  • Process wholesale invoices and purchase orders through Xero.
  • Prepare and distribute monthly wholesale statements of account.
  • Support wholesale agencies with order updates, stock availability and delivery timelines.
  • Build strong relationships with our wholesale partners by providing exceptional communication and service.

Production Coordination

  • Liaise daily with our manufacturing partners in China regarding sampling and bulk production.
  • Coordinate production timelines across multiple collections.
  • Maintain detailed production critical paths and ensure key milestones are achieved.
  • Proactively identify potential delays and communicate solutions before they become issues.
  • Work closely with suppliers to ensure production stays on schedule and meets quality expectations.
  • Coordinate sample development and approvals with internal teams.

Logistics & Supply Chain

  • Coordinate the movement of goods from factory through to our 3PL warehouse.
  • Work alongside freight providers and logistics partners to ensure smooth delivery of inventory.
  • Ensure inventory arrivals align with launch schedules and wholesale delivery windows.
  • Maintain visibility across upcoming collections so the wider team always understands production status.

About You

You are:

  • Highly organised with exceptional attention to detail.
  • Calm under pressure and confident managing multiple deadlines.
  • A proactive communicator who follows things through.
  • Comfortable working with international suppliers and different time zones.
  • Solutions-focused and able to anticipate issues before they arise.

Ideally you'll have experience in:

  • Wholesale operations and general wholesale fashion knowledge.
  • Experience using Xero, Shopify, Microsoft Excel and Google Sheets is a must.
  • Apparel, fashion or consumer goods production.
  • Supplier or factory management.
  • Critical path management.
  • Inventory, purchasing or supply chain coordination.

Experience working with overseas manufacturers, particularly in China, will be highly regarded.
